My files and sharing

Find, organise and import your files in The Office, share a file itself, send it on to a specialist, Chat, Arachne, Nourva One or Nourva Drop, and get told when work is ready.

What My files holds

My files keeps the papers The Office makes for you, the files you bring in yourself, and the files other parts of Nourva save for you. It belongs to your account, so you sign in to use it. On The Office's front page, tap My files beside Recent. You can also tap + in the box at the bottom and choose My files.

The page shows a search box, the kinds All, Word, Excel, Slides and PDF, your files with the newest first, and your Folders below them. Two folders are always there:

  • Outputs holds the papers The Office makes.
  • Scans holds what you keep from Scan a paper.

Tap a file to open it. Before you have any, the page says No files yet.

Find and organise files

To find a file, type in the search box, Which file are you looking for? The search matches a file's name or its folder's name. Tap a kind to show only Word, Excel, Slides or PDF files. If nothing matches, the page says Nothing with that name. Try a word from inside it.

To make a folder:

  1. Tap New folder.
  2. Type a name under A name for the folder and send it.
  3. The page says Folder made.

To work on one file, tap ⋯ on its row:

  • Move lists your folders, with the file's own folder ticked. Tap another folder and the page says Moved.
  • Rename asks for the new name. The file keeps its ending, such as .pdf, and the page says Renamed.
  • Delete asks first. A box titled Are you sure? says the file leaves your files and that this cannot be undone. Tap Delete to confirm or Cancel to keep it.

The same menu holds Change it for a Word, Excel, deck or PDF file, and Sign for a PDF. You can also swipe a row sideways to reach Rename and Delete.

Open one of your own folders and tap ⋯ at the top to Rename it or Delete it. Deleting a folder asks Delete this folder? Its files go with it, followed by the number of files inside. Outputs and Scans have no ⋯ menu, so they stay.

Bring in a file

You can add photos and documents from your phone to any folder.

  1. On My files, tap Import a file.
  2. Choose the folder the files go into.
  3. Pick your photos or documents.

Inside a folder, Import a file skips the folder choice and puts the files straight into that folder.

Pick several at a time. Choose more than the limit allows and the app keeps the first ones and tells you so. When it finishes you see Import complete with the number added. If a file is too large or cannot be read, you see Imported followed by how many of the total went in. My files has its own limits on the number of files and folders and on the space they use.

Share a file or send it on

Two actions look alike and do different things.

  • Share opens your phone's share sheet with the file itself, under its own name and in its own format. It never sends a link. Find it in a file's ⋯ menu, in the ⋯ menu on a finished paper's card, and in a project.
  • Send it to… hands the file to another part of Nourva, so you can carry on there. Find it in the same ⋯ menu, and as a button on a finished paper's card.

Send it to… opens a sheet titled with the file's name. Type what you want done in the box that says What should they do with it? (optional), then tap a place.

PlaceWhat happens
A specialistYou pick one of the employees you have hired. They take the file and your note and start.
ChatNourva reads the file and answers on it.
ArachneA web mission starts from this file.
Nourva OneThe file lands in her outputs and you talk it through with her.
Nourva DropThe file goes alone to your computer, with no note.
Example
Turn this into a one-page summary and list what is still open.

The sheet leaves out the place you are sending from, so from The Office you do not see The Office. If you have not hired anyone yet, the specialist list tells you to hire one first. If a place cannot take the file when you send it, the sheet says so: the file is saved, and it reaches that place when you open it.

Know when work is ready

When The Office finishes a paper while you are away, Nourva sends a notice. Your document is ready names the paper and asks you to open The Office. Your document is paused asks you to open The Office to continue, and The document didn't finish asks you to open it to try again. Tapping the notice opens The Office. No notice comes while you have the paper open and are watching it.

These notices follow one switch: Settings › Notifications › Work is ready or stops, under Tell me when. It starts switched on, and it also covers the Designer, Arachne, the Scanner, Search and Drop.
